Security workforce management software for UK security companiesRun your security company from one system.

Rotas, SIA licences, patrols, check calls and payroll in one place. So you hear about a problem before your client does.

14 days free. No card. Cancel when you like.

The operations dashboard at ten past two on a Tuesday. Built from the live product, shown with sample data.
    • Everything that needs you, worst first.
    • A gap in tonight's cover, spotted at two in the afternoon.

    Sound familiar?

Spreadsheets and WhatsApp do not talk to each other.

So the things that matter most are the things you find out last.

    • A licence expires and nobody notices.

The dates are in a spreadsheet. You find out when the officer is already on site.

    • The rota lets you book anyone.

It does not know who is on leave, whose licence has lapsed, or who just came off nights.

    • You hear about the missed patrol from the client.

The paper sheet gets read after the complaint, not while you could still do something.

    • Payroll means typing everything twice.

Hours are in one place, rates in another. Someone matches them up by hand every pay run.

    One day, on the record

An ordinary day. Seven moments where it usually goes wrong.

A made-up day at a security company, set out like a page of the occurrence book. What happened, and what GuardLink did about it.

    Day shift

    1. Gap flagged

The night officer leaves. The day officer is not due for an hour and a half.

The gap is on the dashboard, with its length, before anyone has to spot it.

      Scheduling
    2. Reminder sent

An officer's SIA licence runs out in 30 days.

You were warned in the app 90 days ago. Today the officer and your managers get a reminder on their phones.

      SIA compliance
    3. Blocked

Someone calls in sick for the 16:00 shift. Your first thought for cover came off nights at six.

The rota stops the booking: not enough rest. You pick someone else, or an owner approves it and gives a reason.

      Scheduling
    4. On site

      The replacement arrives on site.

They clock in on their phone with a photo. The time and their location are saved with it.

      Attendance

    Night shift

    1. 5 of 5

First patrol of the night. Five checkpoints.

A photo at each one, saved with the time and location. No signal in the basement, so that one sends itself later.

      Patrols
    2. Escalated

An officer working alone is due to check in. Nothing comes.

Your managers' phones go off within minutes. It stays at the top of the dashboard until someone deals with it.

      Check calls

    Morning

    1. Timesheet updated

      The shift ends.

Clocking out fills in the timesheet. Nobody types up the hours.

      Payroll & invoicing

    What is in it

Everything a security company runs on, in one file.

Each part uses the same officer, site and shift records. That is why the rota knows about the licence, and the invoice knows about the clock-in.

The rota checks the officer before you book them.

    • Licence, skills, leave and rest checked
    • Set each check to block or warn
    • Today's gaps in cover on one screen

The licence checks, vetting records and working-time rules are built in. You choose which ones stop a booking and which only warn.

    Questions

    Straight answers

    What is GuardLink?

GuardLink is workforce management software for UK security companies. It puts the rota, SIA licence and training records, photo and location clock-in, patrol checkpoints, lone worker check calls, incident reports, timesheets and client invoices in one web platform, with a mobile portal for officers. It works for a team of 10 or a workforce of 500 and more.

What is security workforce management software?

It is one system for a security company's rota, officer licence and training records, attendance, patrols, welfare checks, pay and billing. Because it is one system, the parts work together: the rota can refuse an officer whose SIA licence has expired, and the timesheet is built from the clock-in instead of being typed up afterwards.

    What does compliance-ready mean?

It means the records and checks an SIA-regulated company needs are built in: licence and document expiry dates for every officer, checks on each booking, and a recorded reason for every exception. You choose how strictly they are applied. GuardLink does not certify your company or carry out licensing or vetting.

We care more about filling shifts than paperwork. Is it still for us?

Yes. Start with the rota, attendance and pay. You can set the scheduling checks to warn you instead of stopping you, and the licence and attendance records build up as you work.

What happens when a lone worker misses a check call?

Your managers get an urgent notification on their phones within minutes, and the missed check-in stays at the top of the dashboard until someone deals with it.

Is there an app for officers?

Officers use a mobile portal that opens in their phone's browser, with nothing to install. It covers shifts, clock-in, checkpoints, check-ins, incident reports, leave and documents, and keeps working when the signal drops. It is not in the App Store or Google Play yet.

Is our data kept separate from other companies?

Yes. Every record belongs to one company account, and the database only lets that company's users read it. Inside your company, each person sees what their role allows.

How does the free trial work?

You get 14 days with no credit card. We email you before it ends. If you do not pick a plan, the account is paused and nothing is charged.

Is there a setup fee or a long contract?

No setup fee and no fee per site. You pay per user, monthly or yearly, and yearly is 20% less. You can cancel at any time.

Try it with your own sites today.
